This system was developed for a company providing maintenance and testing services for operators of commercial vehicle fleets but could also be adapted for use with car fleets.
Full details of each customer and vehicle are stored with due dates and reminders for all tests and services. A 'bookings' calendar is maintained to record forthcoming jobs and assess workshop loading.
Outstanding items (parts and work required) for a vehicle are highlighted as soon as the vehicle is next booked in.
Target times are stored for each standard procedure type so that comparisons with actual times can be calculated.
Details of standard parts are stored with cost, supplier, 'used where' etc. Warranty expiry dates can be recorded for each part used.
Various print-outs can be produced for a job including :
Job card for technician
Inspection report for customer showing work carried out
Roadworthiness report for customer showing results of testing
Parts list for parts department showing parts required for job
A full invoicing system is incorporated to allow easy generation of printed documents and an optional transfer of data to Sage accounting systems. Pricing of labour can be calculated using a customer's hourly
rate or a fixed job price can be applied. Parts can be priced at cost plus a percentage or a fixed price. Pro-forma invoices can be produced for customers requiring pricing before commencement.
Further analysis of parts useage and technician time etc. can be obtained by using one of the built-in templates to export to data to Microsoft Excel.
